Case study · Technology & AI
Etape: a calm workspace for outreach social work.
Etape is a case management platform for social support providers, designed and built by Brenvard. It brings daily plans, visit documentation, action plans and progress tracking into one secure system, with AI that drafts and suggests but never decides. Socialplan is the first organisation using it, in a pilot.
The product
A look inside Etape.

The challenge
No system, and none that fit.
Socialplan delivers social support to children, young people, families and adults on behalf of Danish municipalities. Its staff work in citizens’ homes and local communities, not behind a desk. When the work started, Socialplan had no digital system for planning, documentation or follow-up.
Existing systems were either built for large organisations or did not match how outreach work is carried out. The decision was to build a product from the ground up, with Socialplan as the first customer and the ambition of offering it to other providers later.
Documentation that can be done on the move, close to the visit.
Clear reporting to municipalities without double work.
Strict data protection for sensitive information about vulnerable citizens.
What we built
One platform, from visit to report.
Daily plans and visit documentation
Employees check in and out of visits, keep a log for each citizen, upload attachments and register mileage.
Action plans with AI suggestions
Goals and focus areas can be suggested by AI from the municipality’s plan. A professional reviews and approves every suggestion.
Status reports for municipalities
AI drafts the status report from the employee’s own notes. Nothing is sent before a professional has reviewed and approved it.
Wellbeing and progress tracking
Progress is measured on the organisation’s own 0–10 scale across its own domains, shown as red, yellow and green.
Staff profiles and allocation
Employee profiles with languages, driving licence and experience, and an allocation list that matches citizens with the right staff.
Secure access and own branding
Role-based access per organisation, management-only overviews of invoicing and delivery, and report branding each organisation uploads itself.
Etape was developed in short iterations together with Socialplan’s management and staff. Each feature was tested against real daily work before the next one started, and privacy and security decisions were made up front rather than added afterwards.
Mapped the daily work of outreach staff and management.
Built the core: visits, logbook, documentation and access control.
Added action plans, progress tracking and municipal reporting.
Introduced AI features with mandatory human review.
Privacy by design
What we chose not to build.
Some features were left out on purpose. Etape does not track employees by GPS, does not handle medication and does not store photo documentation. Citizens can always be deleted from the system, and municipalities have no access to invoicing or delivery data.
AI suggestions are never final until a professional approves them.
AI runs under a data processing agreement with the provider.
Each organisation’s data and access are kept separate.
Frequently asked questions
Questions about Etape.
Is Etape live?
Etape is in a pilot with Socialplan, its first customer. The aim is to offer it to other social support providers as well.
Does AI make decisions about citizens?
No. AI only drafts and suggests. A professional must review and approve everything before it becomes part of a case or is sent to a municipality.
Can other organisations use Etape?
Etape is built for several organisations from the start, each with its own access, data and branding. Contact us if you would like to hear more.
